The Indigenous Ministries and Justice Unit of The United Church of Canada is seeking an individual to fill the role of Program Assistant, Youth Leadership, Healing Programs and Reconciliation on a permanent full-time (35 hours/week) basis.

The General Council Office supports the ministry and mission of the pastoral charges, congregations, mission units, and regional councils and is the national expression of The United Church of Canada, working ecumenically and in global partnership, faithfully, collaboratively, and effectively.

Indigenous Ministries and Justice has the lead responsibility for coordinating Indigenous issues and concerns of the National Indigenous Council and the General Council relating to the Indigenous ministries and communities of The United Church of Canada. Working with the unit is the Committee on Indigenous Justice Advisory Group whose purpose is to advise the National Indigenous Council and the General Council Executive of The United Church of Canada on matters related to Indigenous justice, the legacy of residential schools, and the Calls to Action issued by the Truth and Reconciliation Commission of Canada. Both Indigenous Ministries and Justice and the Committee on Indigenous Justice Advisory Group are responsible for assisting the church in living into the wholeness of right relations in the areas of youth and young adults, healing of both Indigenous and non-Indigenous peoples, advocacy and justice, education and resources, communications, sharing, and attending to the network.

The Program Assistant provides effective and efficient program support and administrative expertise to the Youth Leadership Coordinator, Healing Programs Coordinator and the Reconciliation and Indigenous Justice Animators and their associated task/steering groups and committees. Provides support to the Executive Minister, as needed.

They have considerable contact and inter-action with people in local congregations, in Indigenous communities elected by Indigenous bodies of the church such as the Regional Council’s Indigenous ministries and Indigenous Congregations. They also work with staff in the General Council Office and the Regional Councils.

This position will be providing support in the following areas:

  1. Administration (50% of position)
  • Provides high level administrative support including hospitality, the flow of communication, coordinating schedules and events, managing calendars, correspondence, responding to routine inquiries and proactively gathering appropriate background materials as required; takes, transcribes and distributes  meeting minutes;
  • Provides planning, research, policy and procedures assistance together with analysis, presentation of data or reports and undertakes specific projects, as assigned;
  • Organizes, files, archives and maintains records in accordance with United Church policies on record management ensuring that key documents are accessible for both staff and volunteers including coordinating annual transfer and achieving of records related to the portfolio;
  • Management of information systems for financial support including facilitating approved expenditures, payment of invoices, cheque requisitions, related correspondence and monitoring of portfolio budgets.
  1. Program and Network (25% of position)
  • Maintains a broad awareness of resources, networks, and issues related to the Indigenous Ministries & Justice, attendance at program and inter-unit meetings; and maintains supportive relationships with partners, colleagues at the General Council office and other church courts/organizations and with non-staff elected and volunteer contributors to the work of the Unit;
  • Maintains the Indigenous network by identifying local contacts to connect Indigenous communities with pastoral charges.  Assists in relationship building to ensure that open conversation continues in a consistent manner;
  • Co-ordinates the initial process for development of programs, visits, resources, and reports, including research, planning meetings, pre-mailing of materials, compilation of documentation and records, accompaniment and communication between participants, visitors and transcribes minutes of meetings;
  • Plans and coordinates all logistics for programs/projects/gatherings including securing up-to-date resources, managing financial support/requests and assisting participants as required. The National Indigenous Spiritual Gatherings that occur every three years is a significant planning event for this position;
  • Assists in the management of grants, such as The Healing Fund, and Justice and Reconciliation Fund. Updating databases, answering questions about the funds;
  • Create detailed and accurate budgets for new and upcoming Programs.
  1. Task Group/Committee Support (25% of position)
  • Provides administrative support to the various task/steering groups and committees including preparation (prepares, reviews, edits and distributes written materials) and follow-up, accurate minute taking, coordinating and arranging all logistics, agenda coordination and record keeping. 
  • Manages, gathers and organizes relevant portfolio data/documentation including surveys, statistical information, resources, network-related details, programs, and meetings as required;

Qualifications

  • Post-secondary education together with 3-5 years’ experience in an administrative role;
  • An understanding and appreciation of the diverse Indigenous communities, their values, faith, spiritualty, knowledge and traditions;
  • Well-developed administrative, planning/time management, problem-solving, organizational and follow through skills, with the ability to juggle multiple tasks at the same time;
  • Knowledge and experience regarding the grant process and funding cycles;
  • Solid computer skills in Microsoft Office applications (Word, Excel, PowerPoint, Access and Outlook), Sharepoint, internet and social media applications;
  • Ability to plan, coordinate and administer complex and multi-phased events, gatherings and meetings.
  • Strong attention to detail, initiative, good judgment, tact, discretion, resourcefulness, and creativity in problem solving; 
  • Excellent research skills with the ability to collect, analyze data and write routine reports, draft letters, correspondence;
  • Flexibility with the ability to effectively deal with changing situations or priorities; 
  • “Customer service” ethos with excellent communication skills interpersonal, verbal and written, including writing, editing, proofreading and the ability to listen carefully and respond effectively;
  • Strong minute-taking skills;
  • Ability to work independently as well as in a team environment with a commitment to team approach and collaboration with colleagues;
  • Willingness and ability to travel within Canada;
  • Knowledge of The United Church of Canada and French and Indigenous language skills would be considered assets;
  • Experience in working with Indigenous organizations, in a church or not-for-profit setting is desirable.

Working Conditions

A flexible work model working both remotely from home office and in the General Council Office, in Toronto, Ontario. This position requires sitting and viewing a computer screen for long periods, keyboarding/using voice recognition software, intermittent physical activity including sitting, standing and being on the phone for long periods of time. Occasional overtime may be required.

Compensation

Salary will be based on skills and experience, within the category 4 position annual salary range of $46,897.85 to $62,530.86. Pension and group benefit plans coverage and three weeks annual vacation round out this compensation package.
